What are Booxi standard eMails?

Booxi standard emails are transactional emails sent out to clients, attendees and staff when a reservation is created, modified or cancelled. Booxi standard emails are easily deployed and do not require any configuration or setup from the merchant. 

It is possible to deactivate all or some Booxi standard emails to send customized emails from a connector or any email marketing platform. Consult our Connectors section and our Event API webhook article for more information. 

Can standard eMails be customized?

Booxi’s default templates are minimalistic and straight, keeping the focus on important information and CTAs. All templates have a desktop/laptop and mobile views. 

The following elements can be customized : profile picture, business name (as configured in the Back-Office), store location information (location, phone number), service information (duration, price, etc).

Standard emails are available in all languages currently supported by Booxi

The sender email is no-reply@booxi.com and cannot be customized.  

Client eMail notifications

This section lists all supported notifications sent out to clients for group reservations type bookings along with a corresponding email sample. The client is the person making the reservation who might or not be attending the event. Specific settings might be required to trigger some notifications.

Confirmation 

A reservation is automatically approved when a client books online. A staff can also create a reservation directly from his calendar.

This notification is sent when a reservation is confirmed. It is triggered when a client has booked a reservation on the Booking Widget or when a staff has created a reservation in the Back Office.

Modification 

It is not possible for a client to modify an existing reservation. A staff can proceed to changes by adding or removing attendees to an existing reservation.

This notification is sent when an attendee has been added or removed from a reservation by a staff.

Reminder

It is up to the client to receive reminders.

This notification is sent when it is time to remind the client of its reservation. 

The client must have opted to be notified by email at the time of the booking.

Reservation Additional Reminder

This notification is sent when it is time to remind the client of its reservation for a second time. The delay can be customized per service.

The client must have opted to be notified by email.

Cancelation 

A reservation can be canceled by a staff and by a client depending on the booking rules.

This notification is sent after the client has canceled a reservation.
In the booking rules, a client must be allowed to cancel a reservation.

Completion

Once the service has been provided, it is possible to send a Thank You message.

This notification is sent when an existing reservation was marked as completed by a staff or completed automatically. A client email address is mandatory.

Payment 

If a payment module has been configured at the merchant level, it is possible to request payment using different options. A shopping cart integration is also available. An option allows to automatically confirm the reservation after online payment has been completed.

Unpaid Cancellation
This notification is sent when a reservation is canceled due to lack of payment at online booking. 

The auto-cancelation delay is by default set up to 15 minutes and can be customized.

Pending Payment Reminder
This notification is sent when a payment is pending or when a payment by email is requested from the Back Office.

Payment must be set to “By Email” and the auto-cancelation option might be turned on or off. 

This notification is also sent if payment is set to “At online booking” and the auto-cancelation option is turned off.

Invoice Receipt 

This notification is sent when a payment has been processed and a Booxi receipt is provided by email.

This notification is sent when a custom message is drafted using the “Notify Client” feature in the Back Office. 
This feature is only available from the client list.

This notification is sent when the client may have wrongfully received a communication or when the  client’s email address has been changed.

Attendee eMail notifications

This section lists all supported notifications sent out to attendees for group reservations type bookings along with a corresponding email sample. The attendee is the person attending the event. If the client is also an attendee, this person will receive the client email notifications. Specific settings might be required to trigger some notifications.

There is an option in the Booking Widget and the Back Office to not send messages to attendees preventing all transactional emails to be sent to attendees.

Additional information 

Please take note that notifications are suspended between 22:00 and 06:00 (merchant local time). Notifications scheduled during that interval will be postponed  and sent out from 06:00.

ICS File Support

Most appointment and reservation notifications include an ICS file that can be downloaded or added to a calendar. Booxi uses the standard ICS format.

Limitations

  • Email notifications including an ICS file may be filtered out as spam due to Google enhanced security. Once Booxi has been set as a trusted source, emails will no longer be filtered out.
