What are Booxi standard eMails?

Booxi standard emails are transactional emails sent out to clients and staff when a booking is created, modified or canceled. Booxi standard emails are easily deployed and do not require any configuration or setup from the merchant.

It is possible to deactivate all or some Booxi standard emails to send customized emails from a connector or any email marketing platform. Consult our Connectors section and our Event API webhook article for more information. 

Can standard eMails be customized?

Booxi’s default templates are minimalistic and straight, keeping the focus on important information and CTAs. All templates have a desktop/laptop and mobile views. 

The following elements can be customized : profile picture, business name (as configured in the Back-Office), store location information (location, phone number), service information (duration, price, etc.), staff name (choice to display it or not).

Standard emails are available in all languages currently supported by Booxi

Sender information 

The sender email is no-reply@booxi.com and cannot be customized while the sender name is the business name of the Booxi merchant. 

Personnel eMail Notifications

This section lists all supported notifications sent out to personnel for appointment type bookings along with a corresponding email sample. For a personnel to receive email notifications, an email address must be configured on the profile and the communication preferences must be set to “Alerts and Emails”.

Confirmation 

A staff is notified when a new appointment has been added in his calendar.

This notification is sent to the associated staff when a client or another staff books a new appointment.

Appointment Approved by Client
This notification is sent to the associated staff when an appointment, booked by another staff and requiring client confirmation, has been approved by the client.

Request

Based on the booking rules, an appointment can be requested by a client.

This notification is sent to the associated staff when a new appointment is booked but requires approval.

Appointment Requested by Client, Awaiting Owner’s Confirmation 
This notification is sent to a merchant’s owner account when an appointment is requested by the client and requires dispatch. 

The service's "Time selection mode" setting must be set to either "Ask client availability" or or "Display time slots without availability check".

Modification 

An appointment can be changed by a client if it is allowed in the booking rules or by another staff.

Appointment Changed by Client
This notification is sent to the associated staff whenever the client has changed any element of an appointment without requiring a confirmation from either party. 

In the booking rules, a client must be allowed to modify an appointment.

Appointment Changed by Client Requesting Staff Confirmation
This notification is sent to the associated staff when the client has made changes to an appointment with changes requiring confirmation from the staff.

Appointment Changed or Confirmed by Staff For Another Staff
This notification is sent to the associated staff when and only when another staff has changed some elements of an appointment.

Cancelation 

An appointment can be canceled by a client based on the booking rules but also by another staff (if calendars are shared among staff members).

This notification is sent to the associated staff when an existing appointment was canceled by the client.

In the booking rules, a client must be allowed to cancel an appointment.

Appointment Canceled By Another Staff

This notification is sent to the associated staff when another staff has canceled an existing appointment. The calendars among staff members must be shared.

This notification contains a daily summary of all bookings associated with a staff.

This notification is sent to a  staff as an invitation to join Booxi.

Password Reset
This notification is sent to a staff when a request to reset a password has been made from the login dialog.

Additional information

Notifications are suspended between 22:00 and 06:00 (merchant local time). Notifications scheduled during that interval will be postponed and sent out from 06:00.


ICS File Support

Most appointment notifications include an ICS file that can be downloaded or added to a calendar. Booxi uses the standard ICS format.

Limitations

  • Email notifications including an ICS file may be filtered out as spam due to Google enhanced security. Once Booxi has been set as a trusted source, emails will no longer be filtered out.
